1. Who We Are
Aszeal is a business operating from British Columbia, Canada. We provide AI-powered call answering, appointment support and messaging services for home-service businesses in Canada and the United States.
Privacy contact:
Privacy Officer
hello@aszeal.com
2. What This Policy Covers
This Policy describes how Aszeal handles personal information when you:
(a) visit aszeal.com;
(b) use the “Try it live” AI demo;
(c) submit a “Request a walkthrough” form;
(d) purchase or manage a paid plan; or
(e) interact with Aszeal while we provide services to one of our business customers.
Paying business customers are also governed by Aszeal’s Customer Service Agreement and applicable data-processing terms. When Aszeal handles a customer’s caller or client information on that customer’s instructions, the customer is generally responsible for deciding why that information is used and Aszeal acts as a service provider or processor, subject to applicable law.
3. Information We Collect and Why
3.1 Visiting the website
When you visit the website, our hosting provider may automatically receive standard technical information such as your IP address, browser or device information, requested pages, date and time, and server/security logs. We use this information to deliver the website, keep it secure, diagnose errors and prevent abuse.
The website currently uses no advertising pixels, behavioural advertising trackers or first-party analytics.
The site stores one timestamp in your browser’s localStorage to help prevent repeated demo requests from the same browser. This is browser storage, not an advertising identifier.
The site loads Google Fonts from Google. Your browser may therefore connect directly to Google and disclose standard network information such as your IP address and browser information to Google.
3.2 “Try it live” AI demo
To request the live demo, you provide a US or Canadian mobile number and affirmatively consent to the demo call and follow-up message.
Aszeal’s own operational database may store:
- the mobile number;
- the exact version of the consent wording shown to you;
- the date and time consent was given;
- a one-way salted hash of your IP address rather than the readable IP address;
- your browser user-agent;
- the call identifier and call status;
- the text-message identifier and delivery status;
- duplicate-prevention information; and
- technical error codes if something fails.
We use this information to place the requested call, send the requested recap, prevent abuse, prove consent, troubleshoot delivery and honour opt-outs.
During the demo call, Vapi operates the voice interaction. The service may process what you say in real time, convert speech to text, send relevant conversational content to an OpenAI language model, and generate speech using ElevenLabs. After the call it also generates structured call information (a structured service-intake output).
Audio recording is disabled for the demo.
Aszeal’s website backend does not retain call transcripts, detailed service-intake information, recap text, SMS content, recordings or complete webhook payloads. It reads only what it needs to send the requested recap and to honour a do-not-contact request, and then discards the rest.
Our voice-service provider (Vapi) is a separate service provider. It processes call transcripts and structured call information to operate the service. Audio recording is disabled. Provider-side call artifacts are handled according to the provider’s configured storage and retention settings.
If you ask the AI not to contact you, or you opt out by text, we maintain a suppression record so that we do not accidentally contact the number again without valid new consent.
3.3 “Request a walkthrough”
If you request a walkthrough, we collect the name, phone number and business description you submit. The website sends that information to hello@aszeal.com using Resend. The website does not place that form content in Aszeal’s application database.
For rate limiting, we may keep a one-way hash of your IP address and a timestamp for up to one day.
Our team may reply to a walkthrough request by phone, text or email about the request you submitted.
3.4 Buying and paying for a plan
Paid subscriptions are processed by Stripe. Stripe collects card and billing information on its systems. Aszeal does not receive your full payment-card number.
Aszeal may receive and keep information such as your business/customer name, email address, selected plan, subscription status, payment status, invoices and information reasonably needed to administer the commercial relationship, meet accounting requirements and handle support.
3.5 Services provided for paying business customers
When a home-service business uses Aszeal, we may process information about that business’s callers and clients on the business’s behalf. Depending on the configured service, this can include:
- telephone number;
- the caller’s live speech and a machine-generated transcript;
- name;
- service address;
- service request or problem details;
- urgency and safety-related information supplied by the caller;
- requested appointment date or time; and
- information needed to create, change or cancel an appointment.
Vapi and the configured AI providers process the call to allow the assistant to converse with the caller. Google Calendar may be used, with the customer’s authorization, to check availability and create appointment events. Aszeal may send lead details to the business customer by email.
NovaFlow may send appointment reminders, review requests, follow-ups or reactivation messages on behalf of a business customer. The business customer is responsible for providing lawful contact lists and for having the consent or other legal basis required for those messages.
4. Information We Deliberately Do Not Keep in Our Website Database
For the live demo, Aszeal’s application database is designed not to retain:
- call audio or recordings;
- call transcripts;
- the AI’s detailed service-intake information;
- service-address and problem details extracted from the conversation;
- the recap text;
- the content of the outgoing SMS; or
- complete webhook payloads from our providers.
This statement is about Aszeal’s own application database. It does not mean that every service provider immediately deletes its own processing records. Section 5 identifies the providers involved.
5. Service Providers
We use service providers to run Aszeal. They may process personal information only for the relevant service and subject to their agreements, settings and applicable law.
Vapi — operates and orchestrates the AI voice calls. It processes call transcripts and structured call information, and handles call artifacts according to its configured storage and retention settings.
OpenAI — provides language-model processing used by the voice agent. OpenAI states that API data is not used to train its models by default unless the customer opts in, and some API data may be retained for abuse monitoring depending on the endpoint and data-control settings.
ElevenLabs — provides AI voice generation. Retention depends on the service and privacy configuration used.
Twilio — provides telephone/SMS delivery and messaging infrastructure.
Neon — hosts Aszeal’s application database.
Vercel — hosts the website and server-side application code and maintains standard operational/security logs.
Resend — sends emails generated by website and service workflows.
Stripe — processes subscription payments and related billing information.
Google Calendar — where a paying customer authorizes the integration, allows the assistant to check availability and create appointments.
Google Fonts — supplies website fonts and receives a visitor’s browser request for those font files.
We may replace a provider where reasonably necessary to operate the service. Material changes will be reflected in this Policy where required.
6. Mobile Information and Messaging Data
We do not sell mobile numbers or text-message consent information.
Mobile information will not be shared with third parties or affiliates for their own marketing or promotional purposes. Text-message opt-in data and consent will not be shared with third parties for their own marketing purposes.
We may disclose mobile information to service providers such as Twilio and other infrastructure providers where necessary to send requested or authorized messages, prevent abuse, comply with law, or provide the service for the business customer on whose behalf we are processing the information.
7. Where Information Is Processed
Aszeal operates from Canada, but our service providers may process information in Canada, the United States and other countries in which they or their subprocessors operate.
For example, Vercel’s default serverless-function region for new projects is currently Washington, D.C., unless a different region is configured. Other providers offer different regional and retention configurations.
Information processed outside your province, state or country may be subject to the laws of that jurisdiction and may be accessible to courts, law-enforcement or regulatory authorities as permitted by those laws.
Where required, Aszeal uses contractual and organizational measures intended to protect information transferred to service providers.
8. Retention
We try to keep personal information only as long as reasonably necessary for the purpose for which it was collected and for legal, security and dispute-resolution needs.
Our intended retention schedule is:
- ordinary demo operational records: up to 90 days;
- rate-limit IP hashes for the walkthrough form: up to one day;
- proof-of-consent records for regulated demo calls/messages: up to five years after the relevant interaction, unless a different period is required or advised;
- do-not-contact/suppression records: for as long as reasonably necessary to honour the opt-out, unless the person later provides valid fresh consent;
- walkthrough-request emails: for as long as reasonably needed to respond, follow up and maintain ordinary business records;
- subscription/accounting records: for the period needed to administer the subscription and satisfy legal, tax, accounting and dispute requirements;
- provider-side call artifacts, such as transcripts and structured call information held by our voice-service provider: handled according to the provider’s configured storage and retention settings. [Legal review placeholder: confirm the provider’s retention period and update this section before launch.]
A service provider may have its own required backup, fraud-prevention, security or legal retention period.
9. Your Choices and Rights
Depending on where you live, privacy law may give you rights to ask for access to personal information, correction of inaccurate information, deletion, withdrawal of consent, or information about how personal information has been used or disclosed.
To make a request, email hello@aszeal.com with enough information for us to identify the relevant record. We may need to verify your identity before responding.
For SMS:
- reply STOP to stop messages from that number;
- recognized opt-out words may also include UNSUBSCRIBE, CANCEL, END and QUIT;
- reply HELP for support information.
For calls, you may tell the AI that you do not want further contact or simply end the call.
Withdrawing consent does not make prior lawful processing unlawful and may prevent us from providing a requested feature.
10. Canadian Privacy Rights
Aszeal operates from British Columbia. British Columbia’s Personal Information Protection Act may apply to personal information handled within British Columbia. The federal Personal Information Protection and Electronic Documents Act (PIPEDA) can apply to personal information involved in interprovincial or international commercial transactions. Other provincial privacy laws may apply depending on the circumstances.
You may contact our Privacy Officer at hello@aszeal.com about access, correction, complaints or questions.
If you are not satisfied with our response, you may have the right to complain to the Office of the Information and Privacy Commissioner for British Columbia, the Office of the Privacy Commissioner of Canada, or another applicable provincial regulator.
11. Quebec
If Aszeal offers services to persons or businesses in Quebec, Quebec’s Act respecting the protection of personal information in the private sector may apply.
Privacy Officer:
Privacy Officer, Aszeal
hello@aszeal.com
A person may contact the Privacy Officer about access, rectification, withdrawal of consent where applicable, or a privacy complaint.
Before Aszeal actively sells into Quebec, this Policy and the broader customer journey should be reviewed for Quebec privacy and French-language requirements.
12. United States Privacy Rights
US state privacy laws vary and often apply only when a business meets statutory thresholds or processes information in particular roles.
Where a law gives you an applicable right to access, correct, delete or obtain a copy of personal information, or to appeal a privacy decision, you may contact hello@aszeal.com.
Aszeal does not sell personal information and does not share personal information for cross-context behavioural advertising. We do not use targeted-advertising pixels on the website today.
When Aszeal processes a business customer’s caller/client information solely on that customer’s instructions, the business customer may need to receive and respond to the individual’s privacy request. We will reasonably assist the customer as required by applicable law and our agreement.
13. Security
We use administrative, technical and organizational safeguards appropriate to the nature of the information we handle. These include access controls, encrypted connections, restricted credentials and environment variables, data minimization and retention controls.
No internet or telecommunications system is perfectly secure, and we cannot guarantee absolute security.
14. Children
Aszeal is a business service and is not directed to children. The website and live demo are intended for adults and business users. Do not submit a child’s personal information through the demo.
If you believe a child has provided personal information to us, contact hello@aszeal.com.
15. Cookies and Browser Storage
Aszeal’s website currently sets no first-party cookies and uses no advertising or analytics cookies.
The website uses one localStorage timestamp for demo-abuse prevention.
Google Fonts is loaded from Google, so the visitor’s browser makes a network request to Google.
Third-party pages you choose to visit, including Stripe-hosted payment pages, may use their own cookies or storage under their own policies.
16. Changes to This Policy
We may update this Policy when our services, providers or legal obligations change. We will post the updated version on this page and change the “Last updated” date. Where required, we will provide additional notice.
